Online Booking System for a Service Business: Website Widget or Instagram DMs?

Most online booking systems put a booking page on your website. If your customers book by messaging you on Instagram, a different kind of system fits better. Here is how to choose.

What this guide is, and what Reservify is not

An "online booking system" can mean two different things. One is a booking page or widget that you put on your website or share as a link, where customers pick a slot themselves. The other is a system that takes bookings inside a conversation, where the customer asks and the system answers.

Reservify is the second kind. It takes bookings from Instagram DMs and from your dashboard. It does not give you a public booking page or a website widget. If a self-serve page on your own site is what you need, this is not the right product, and this guide will help you tell the difference.

What any online booking system has to get right

Whichever style you choose, a booking system is only as good as the schedule behind it:

  • It must show only times that are genuinely free, against real staff hours and existing bookings.
  • It must know which staff can do which service, and how long each one takes.
  • Bookings must land in one place your team already looks at, not in a separate inbox.
  • Customers must be able to change or cancel without a phone call.
  • You must be able to see what happened, so mistakes can be fixed.

Booking page versus booking by message

A booking page works well for the customer who already knows what they want and is happy to fill in a form. It is self-serve, and it works at any hour.

It does not catch the customer who sends a message first. Many service customers ask a question before they commit: "do you have anything Saturday afternoon," "can I bring a friend," "how long does color take." That customer is in a conversation, and sending them to a form is a step many will not take. Answering in the same chat is how those bookings are kept.

Where Reservify fits

For salons, barbershops, spas, restaurants and clubs that already get booking questions on Instagram, Reservify answers the DM, checks real availability, and writes the confirmed booking into the schedule the staff use. The dashboard also takes manual bookings for phone calls and walk-ins, so everything sits in one calendar.

Behind it are the practical pieces: staff schedules, services with their own lengths, customer records, and conversation handover to a person when the bot should not guess. Reminders to customers are available on the plans that include them.

It does not have to be either-or

Plenty of businesses will want both a booking page and a DM bot. The page serves the self-serve customer, and the bot serves the one who messages. The guide comparing a DM bot with a link in your bio goes through how the two sit side by side.

What it does not do

Beyond having no public booking page, Reservify does not take card payments for bookings, hold deposits, or run point of sale, payroll or stock. If you want those in the same product as your bookings, you will need a broader suite or a separate tool for them.

Questions to ask before you choose

A short list that works for any booking system:

  • Where do my customers actually ask for bookings today: my website, Instagram, the phone?
  • Does it check each staff member’s hours and skills, or only whether the business is open?
  • Can I see every booking, and the conversation behind it, in one place?
  • What is missing that I would have to cover with another tool?
  • What does it cost per month, in plain terms?
